Solution · Multi-site
Every location, one standard.
When you run several sites, the problem isn't any one of them — it's that they're all different. One does a clipboard, one a spreadsheet, one nothing. Flowmatix puts the same sign-in, the same records and the same roll-call at every location.
Consistent where it counts
Its own kiosk per site
Each location gets its own kiosk link and QR — tagged to that site automatically, so records never blur across locations.
Its own list & roll-call
Each site has its own live on-site list and one-tap evacuation roll-call, so each site can account for its own people.
The same standard everywhere
The same visitor types, inductions and rules apply across the group — set once, applied at every site.
🔎 Straight answer on dashboards: each site has its own live list and roll-call, which head office can access. A single combined all-sites roll-up dashboard isn't there yet — if a one-screen view across every location is a hard requirement, tell us and we'll be honest about timing rather than imply it exists.
Per-site kiosks in practice
Visitor sign in at multiple locations, with no "which location?" step
Most multi site visitor management tools start the visitor with a dropdown: pick your site. Someone in a hurry picks the wrong one, and from then on the records blur across locations. Flowmatix doesn't ask, because each location has its own kiosk link.
Open the Sydney depot's tablet to the Sydney link and the Melbourne office's tablet to the Melbourne link. Every sign-in on that device is tagged to that site automatically. The visitor just taps "Sign in" and chooses why they're there.
One link and QR per site
The Sites page lists every location with its own kiosk link, a QR code and a Print QR button. Scan the QR on the tablet to open it, then add it to the home screen so it runs full-screen.
One kiosk per gate if you need it
A warehouse with a front office and a truck gate can run each entrance as its own site, with its own tablet, list and roll-call. On our pricing, each kiosk location counts as a site.
Lost a tablet? Issue a new link
Each site's link can be regenerated with "New link", so the old one stops working. The kiosk link only lets people sign in and shows no admin data, but replacing it is still good practice.
Your own hardware
Bring your own iPad or Android tablet. Flowmatix runs in the browser and installs as a home-screen web app, so there's no native app to roll out to each site.
For more on the sign-in screens themselves, see the visitor kiosk.
Rolling out multi site visitor management, site by site
The aim is to set the standard once and then repeat it at each site. In practice the rollout looks like this:
- Set your visitor types once. Start from Visitor, Contractor, Employee (roster) and Courier, and add your own. Each type gets its own questions, declaration, induction and agreement, and the same set applies at every site.
- Add each location on the Sites page. Each one gets its own kiosk link and QR straight away.
- Put a tablet at each entrance and open that site's link on it. Print the QR if you'd like a paper copy to rescan if the tablet is reset.
- Load your hosts so visitors can pick the person they're seeing, and switch on host notifications if you want them.
- Pilot before you go group-wide. Run one or two sites for a few weeks, fix the questions people stumble on, then roll the same setup out to the rest.
We recommend the pilot because per-site kiosks, per-site QR codes and the Location column are recent additions to Flowmatix. They're tested, but they haven't had years of field use yet, and we'd rather you prove them on one site than find a gap across twenty.
What head office can see today, and what isn't built yet
Head office logs in to the same Visitors page as everyone else. Here's what's there today:
- A Location column on the Visitors list, so you can see which site each person signed in at.
- Per-site evacuation lists that can be filtered and printed for any location.
- CSV export of visitor records, including the Location column, for your own reporting.
- An audit trail showing who added a site, edited it or regenerated its kiosk link, along with sign-ins and sign-outs.
An all-sites roll-up dashboard with a tile per site is coming soon, but it isn't a dedicated screen yet. There are also no BI dashboards or scheduled email reports. Reporting today is the live list, the per-site print, roster timesheets and CSV export. If you need a one-screen group view now, export the CSV into the tools you already use.
An evacuation list for every site
A single combined list doesn't help a warden standing at one assembly point. They need the people who should be at their site, not a list of everyone in the group. Because every sign-in is tagged to the site it happened at, each location prints its own roll-call: name and photo, type, organisation, host, time in, mobile and an "accounted" checkbox.
Each site can also have its own assembly point and evacuation diagram, shown to visitors as they sign in and at the top of that site’s roll-call. Set one default for the group and override it only where a site is different.
That works the same whether a site has two visitors a day or two hundred. See the evacuation register for how wardens use it, and our guide to what a roll-call needs.
Priced for more than one
Multi-site pricing starts from $79/site/month with unlimited locations — and unlimited sign-ins, so your busiest site costs the same as your quietest. It's the Visitor Management product across your group; see it in a warehouse network or a venue group.
Running fewer than six sites? Pro covers up to 5 sites for $99/month flat billed annually ($119 monthly). A single location can start on Starter at $49 per site per month billed annually ($59 monthly). Every plan has a 14-day free trial and no lock-in, and you bring your own iPad or Android tablet. Questions
What does multi-site cost?
From $79/site/month with unlimited locations and unlimited sign-ins.
Can each site have its own setup?
Same standard across the group; each site its own kiosk, records, evacuation list, and assembly point and diagram.
One dashboard across every site?
Each site has its own list and roll-call, accessible to head office; a single combined all-sites dashboard isn't there yet.
Do visitors have to choose their location when they sign in?
No. Each site has its own kiosk link and QR, so the tablet already knows where it is. Sign-ins are tagged to that site automatically and there's no location step.
What if a site's tablet is lost or stolen?
Regenerate that site's link from the Sites page so the old one stops working, then open the new link on a replacement tablet. The kiosk link only allows sign-in and doesn't expose admin data.
Can head office see who's on site at every location?
Yes, through the Visitors list, which shows a Location column, and the per-site evacuation print. An all-sites dashboard with a tile per site is coming soon but isn't built yet.
Which plan suits three or four sites?
Pro is $99/month flat for up to 5 sites billed annually ($119 monthly). It isn't charged per site. Above that, Multi-site pricing starts from $79 per site.
Can we export records across all our sites?
Yes. The CSV export includes name, type, organisation, host, location, reason and sign-in and sign-out times, so you can report across sites in a spreadsheet.
How proven are the multi-site features?
They're available now and tested, but they're recent additions with limited field use so far. That's why we suggest piloting one or two sites for a few weeks before rolling out across the group.
