For Hospitality

Every venue, one standard.

Casual staff tap their name in and out. Contractors complete your induction. Each venue has its own kiosk, its own record and its own roll-call — and head office sees all of it.

Four venues, four methods

“Who was on shift at venue two on Saturday?”

One venue does sign-in on a clipboard, one on a spreadsheet, one not at all, and the fourth has a system nobody's been trained on.

Head office asks who was on shift last Saturday. That's a phone call and an afternoon.

The three that matter across venues

Roster sign-in for casuals

Staff tap their name in and out, PIN-protected with lockout. Timesheets accrue automatically: first in, last out, days present, CSV export.

Contractors inducted

Cleaners, refrigeration, gas, entertainment — each with their own form and your signed agreement before they start.

Per-venue kiosks

Each venue its own link and QR, its own evacuation list — the same standard everywhere, visible from head office.

What you can pull up in a minute

Who was on site, at which venue, when. Every contractor inducted. Every shift recorded. Retention you configure — not a phone call and an afternoon.

The back-of-house door

Contractor sign in for hotels, pubs and venues

Guests come through the front. Everyone else uses the loading dock or the staff entrance: the refrigeration tech, the gas fitter, the pest controller, the AV crew bumping in for a function, the overnight cleaners. That's where a sign-in book usually lives, and where it's most often skipped.

With Flowmatix, the contractor taps "Contractor" on the tablet by that door and answers your questions one at a time: company, who they're working for, and why they're here. Then they read your induction briefing, accept your site rules or SWMS, and type their signature if you require it. That step is enforced by the server, so it can't be skipped. Their record shows which version of the agreement they signed and when.

You can add your own questions to the contractor type, such as a licence number or the area they're working in, and make each one required or optional. See contractor induction and SWMS sign-off for more detail.

Venue staff and contractor sign in at the same kiosk

One tablet at the staff entrance, a different flow for each kind of person. Each type only gets the questions that apply to it.

Rostered staff

Set up as a roster type, staff skip the form. They tap their name to sign in and tap again to sign out, and their timesheet builds up for export.

Contractors and trades

The full flow: company, host, induction briefing, signed agreement, optional photo and any custom questions you've added.

Couriers and suppliers

A short flow for the keg delivery or the linen run. Set an auto sign-out for that type (an hour, say) so drivers who don't sign out still drop off the list.

Your own types

Add types such as Entertainer, Function supplier or Inspector, each with its own questions. Rename, reorder or hide the defaults as you like.

When the alarm goes in the middle of service

Each venue prints its own roll-call from the live on-site list in one action. It shows name and photo, type, organisation, host or location, time in, mobile and an "accounted" checkbox for every person signed in. Because staff tap in and out and contractors sign in at the door, the list covers the people behind the bar and in the plant room as well as visitors.

Be clear about what it doesn't cover: hotel guests, diners and patrons don't sign in at the kiosk, so they won't be on this list. Your existing guest and venue procedures still apply. Flowmatix covers the staff, contractors and visitors who signed in. See the evacuation register and our guide to what a roll-call needs.

Setting up a venue group, and what it costs

Each venue gets its own kiosk link and QR from the Sites page. Open it on a tablet at the staff entrance and every sign-in on that tablet is tagged to that venue, so nobody has to pick a location. Head office sees which venue each person signed in at through the Location column on the Visitors list, and can print any venue's evacuation list or export the records to CSV. A combined dashboard with a tile per venue isn't built yet. See multi-site for what's there today.

The per-venue features are recent additions, so for a group we suggest piloting one or two venues for a few weeks before rolling out everywhere.

Pricing: one venue on Starter is $49 per site per month billed annually ($59 monthly). Roster sign-in with timesheets, contractor inductions and per-type forms are in Pro, which is $99/month flat for up to 5 venues billed annually ($119 monthly). Larger groups start from $79 per site on Multi-site. Every plan has a 14-day free trial and no lock-in, and you can use your own iPad or Android tablet. See pricing.

Also relevant

Faults reported from the floor, tracked to done.

With Maintenance, staff report a fault by scanning a QR poster — triaged by priority and safety, tracked to completion, across every venue. The broken cool room gets a job number, not a text to the manager.

🔎 Straight answer: roster sign-in produces timesheets — first in, last out, totals, days present, CSV export. It is not a payroll system and doesn't run pay. Export the timesheet into whatever you pay with.

Questions venue groups ask

Is this a time and attendance system?

Roster sign-in produces timesheets — first in, last out, totals, days present, CSV export. It doesn't run payroll.

Can each venue have its own setup?

Same visitor types across the group; each venue its own kiosk, records and evacuation list.

What does multi-venue cost?

From $79/site/month with unlimited locations.

Are hotel guests or patrons on the evacuation list?

No. Only people who sign in at the kiosk appear, such as staff who tap in, contractors, suppliers and visitors. Guests and patrons are covered by your existing venue procedures.

Can couriers and suppliers sign in quickly?

Yes. Give deliveries their own type with only a few questions, and set an auto sign-out so drivers who leave without signing out drop off the list.

What happens when we change our contractor site rules?

Editing the agreement text creates a new version, so contractors accept the new wording. Each record shows which version they accepted and when.

Where should the kiosk go in a venue?

At the entrance staff and contractors actually use, usually the staff door or loading dock. If a venue has two working entrances, each can run as its own site with its own tablet.

Do we need to buy tablets?

No. Bring your own iPad or Android tablet. Flowmatix runs in the browser and adds to the home screen, so there's no app-store install.

Which plan includes roster sign-in for staff?

Pro and Multi-site. Pro is $99/month flat for up to 5 venues billed annually, and Multi-site starts from $79 per site for larger groups.
