Solution · Visitor kiosk

A visitor kiosk you set up in five minutes.

It runs in the browser on the iPad or Android tablet you already own — your branding, one clean question per screen, a QR code so visitors can use their own phone, and one kiosk per gate that already knows where it is. No app store, no special hardware.

The Flowmatix visitor kiosk on an iPad — a visitor choosing their type to sign in

What the kiosk gives you

Runs on iPad or Android

Open a link in the browser and it's a kiosk — bring your own iPad or Android tablet, or ask us to spec and pre-configure one per site. Nothing to install.

Your brand, your questions

Your logo on the kiosk and the badge, one question per screen, and configurable fields per visitor type.

One per gate, phone-friendly

Each entrance its own link and QR code — the kiosk knows its location, and visitors can sign in from their own phone.

The kiosk is the front of the whole system

Behind that clean screen, the same sign-in enforces your induction, prints the badge, notifies the host and builds the live on-site list and roll-call. It's the front door to Visitor Management — replace the paper visitor book, or run contractor sign-in through it.

Tablet requirements

Any current tablet works. This is what we recommend for a kiosk that runs all day at reception.

iPad

Any iPad running iPadOS 15 or newer with Safari. Lock it to the kiosk with Guided Access, or let our Device Management do it for you.

Android tablet

Android 11 or newer with Chrome kept up to date, a 10-inch screen or larger, a front-facing camera for visitor photos, and 3 GB of RAM or more. Lock it to the kiosk with a kiosk-browser app or Android screen pinning.

At the desk

Wi-Fi and a power point so the tablet stays on, plus a counter stand or wall mount. Need hardware? Buy tablets to this spec and send them to us to configure, or ask for pre-configured kiosks delivered to each site.

Setup in practice

Setting up a visitor sign-in kiosk on an iPad or Android tablet

Here is what the five minutes actually involve, for one entrance:

  1. Add the site. In the Sites page, give the location a name — “Main reception”, “Gate 2”, “Depot”. Flowmatix creates a kiosk link and QR code for it.
  2. Open the link on the tablet. Scan the QR with the tablet’s camera, or print the QR and scan it from paper. Safari on iPad and Chrome on Android both work.
  3. Add it to the Home Screen. The kiosk then opens full screen like an app, with no browser bar and no login.
  4. Lock the tablet to it. Use Guided Access on iPad, or screen pinning or a kiosk-browser app on Android, so visitors can’t wander off into other apps.
  5. Mount it near power. A counter stand or wall mount at the entrance, plugged in, on Wi-Fi.

Repeat for each entrance. Because every site has its own link, a tablet at Gate 2 tags every sign-in to Gate 2 without asking — which is what makes per-gate evacuation lists possible. See multi-site visitor management if you are rolling out across locations.

What visitors see on the kiosk

One question per screen, in large touch targets, and only the questions their visitor type needs.

Pick a type, then answer

The first screen shows a card for each visitor type. A courier gets a short form; a contractor may be asked for their company, host, induction acceptance and signature. You decide per type in settings.

Photo from the front camera

If you switch photos on for a type, the tablet’s front camera takes one at the end of sign-in. It appears on the visitor badge and the evacuation list, and is stored privately, not in a public folder.

A badge if you want one

Badges can show your logo, the visitor’s organisation, host, photo, location and a custom footer. Turn badges on or off for each visitor type.

Signing out

Visitors tap Sign out, search for their name or mobile and pick their visit. Anyone who forgets is cleared by the automatic sign-out, or by the office from the live list.

Staff tap in and out

Employees on a roster type skip the questions entirely: they find their name and tap once to arrive, once to leave. Their hours build into a timesheet.

Your branding

Your logo and a background theme on the kiosk, and your own declaration wording on the final screen.

What the kiosk can and can’t reach

A tablet in a public foyer will be picked up by strangers, so the kiosk is deliberately limited:

✓No one logs in on the tablet. The kiosk link carries a long, random token for that site, and that token can only be used to sign people in and out.
✓It exposes no admin data — no visitor history, no settings, no staff accounts. Those live behind staff logins on the office side.
✓If a tablet is lost or stolen, click “New link” for that site. The old link stops working immediately; open the new one on a replacement device.
✓Kiosk links and QR codes are only shown to authorised staff, and new links are recorded in the audit log.

A browser kiosk, not an app — and what that means

The Flowmatix kiosk is a web app you add to the tablet’s home screen. It isn’t downloaded from the App Store or Google Play, and there is no native app. In practice that means no installs to approve, nothing to update tablet by tablet, and the same kiosk whether you choose an iPad or an Android tablet.

For printing, badges use the tablet’s normal print options, so any AirPrint or network printer the tablet can reach will do. We don’t certify or bundle a particular label printer. Ask us before you buy one and we’ll tell you what we know.

Kiosks are included in every plan: Starter is $49 per site per month billed annually, Pro is $99 a month flat for up to five sites. Both start with a 14-day free trial. Full details are on the pricing page.

Questions

Do we need special hardware?

No — a standard iPad or Android tablet (see the requirements above). Bring your own, or we can spec and pre-configure tablets for each site. Nothing to install from an app store.

Can visitors use their phone?

Yes — each kiosk has a QR code to sign in from a phone.

Several entrances — one kiosk each?

Yes — each gets its own link and QR, and knows which gate it is.

Is there an app to download?

No. The kiosk runs in Safari on iPad or Chrome on Android. Open your site’s kiosk link and use Add to Home Screen so it opens full screen. There is no App Store or Google Play app.

What happens if a kiosk tablet is lost or stolen?

Generate a new link for that site from the Sites page. The old link stops working, and the tablet never held any admin data — the kiosk can only sign people in and out.

Can the kiosk take visitor photos?

Yes, if you turn photos on for a visitor type. The tablet’s front camera takes the photo, which appears on the badge and the evacuation list. Photos are stored privately and deleted with the record at the end of your retention period.

Which printers work for visitor badges?

Badges print through the tablet’s normal print options, so any AirPrint or network printer it can reach should work. We don’t certify a particular label printer.

Can employees use the same kiosk as visitors?

Yes. Set up a roster-style employee type: staff tap their name to sign in and tap again to sign out, without answering the visitor questions.
