For Warehousing & Logistics

Every gate. Every contractor. Every courier.

One iPad per gate — and it already knows which gate it is. Couriers are through in three taps. Contractors don't reach the floor until they've been inducted. And when the alarm goes, you print the roll-call.

6:40am at the dock

“Who's on the floor?”

Two couriers at the dock, a refrigeration contractor at the north gate, and a pallet-jack repair somewhere on the floor. Your gate book is inside, the pen's missing, and nobody wrote down the contractor's name.

At 11am the alarm goes off. Right now, could you say — with certainty — exactly who is on the floor, and print it?

The three that matter on a dock

One kiosk per gate

Each entrance has its own link — the iPad already knows where it is. No “which location?” step, no wrong answers, and every sign-in tagged to the right gate automatically.

Couriers in three taps

A courier type asks only what matters — name, company, who they're seeing — then auto-signs-out after an hour so the dock doesn't clutter the live list.

Roll-call in one tap

If you evacuate, print the list per site — everyone on the floor, with photos and a tick-box against every name.

What you can prove afterwards

Every contractor: inducted, signed, timestamped. Every courier: logged. Every gate: its own record. Retention you configure — kept as long as you need, purged automatically after.

One shift, gate by gate

Warehouse visitor sign-in, walked through

Warehouse visitor sign-in has to cope with very different people arriving at the same time. Here's how one morning runs with a tablet on each gate.

  1. 5:55am — the shift arrives. Your own people are a roster type: they tap their name on the gate tablet to sign in, and tap again to leave. No form, and a timesheet builds in the background.
  2. 6:40am — two couriers at the dock. They tap “Courier”: name, company, who it's for. Done. Each clears from the live list automatically after the time you set for couriers.
  3. 7:15am — the refrigeration contractor at the north gate. The north-gate tablet tags the sign-in to that gate. They enter their company and host, answer your contractor questions, read the induction, accept your site rules and type a signature — then take a photo for the badge and roll-call.
  4. 7:16am — the host knows. With host notifications on, the maintenance lead gets an email (or SMS) that the contractor is at the north gate.
  5. 9:30am — a customer site visit. The visitor type asks for the person they're meeting and the site declaration, nothing more.
  6. 11:00am — the alarm. Print the on-site list for that site: staff who tapped in, contractors, the visitor, any courier still signed in — with photos and a tick-box against each name.

Warehouse contractor induction, done before the floor

A warehouse contractor induction usually covers the same ground: forklift and pedestrian traffic, exclusion zones, PPE, where to report a hazard, and what to do when the alarm sounds. In Flowmatix that's the induction briefing on your contractor type — your words, read at the gate before they reach the floor.

After the briefing they accept an agreement (your site rules, a permit condition, an NDA — whatever you need) and type their signature. Acceptance is enforced on the server, so a contractor can't tap past it. Change the wording and the version goes up; every contractor accepts the new version at their next sign-in, while past records keep the version that applied on the day.

Need more than one induction? Make more than one type — a racking inspector and a cleaner can each get their own briefing and questions. Our guide to contractor induction requirements in Australia covers what your WHS obligations look like in practice, and contractor induction shows the flow in detail.

Staff, contractors and couriers — kept apart

Employees on a roster

Tap in, tap out. The timesheet shows first-in and last-out each day, plus total hours and days present over a date range, exportable to CSV.

Contractors with an induction

Company, host, your custom fields, the briefing and a signed agreement — on the contractor tab of the live list.

Couriers kept light

Few questions, a short automatic sign-out, still on the roll-call while they're on site.

All of it is one product: Visitor Management. Several DCs? Each gets its own kiosk links — see multi-site sign-in.

Also relevant

The contractor reports a hazard — it becomes a job.

With Maintenance, a contractor can report a fault at the kiosk and it lands as a tracked ticket. Safety language is flagged automatically and can't be quietly closed — so a hazard on the floor doesn't vanish into a group chat.

🔎 Straight answer: each site has its own live list and roll-call. A single all-sites roll-up dashboard across every DC isn't there yet — if that's a hard requirement for you, tell us and we'll be honest about timing.

Also: it runs in the tablet's browser (added to the home screen), not as an app-store app. Badges print through the browser to any AirPrint or network printer, not a dedicated label printer. Reporting is the live list, per-site evacuation print, timesheet and CSV export — there are no analytics dashboards or scheduled reports.

What a multi-gate warehouse pays

Each gate with its own kiosk counts as a site. Pro is $99 a month flat for up to 5 sites (AUD, billed annually; $119 monthly) and includes inductions and signed agreements, custom forms, the employee roster and timesheets, host notifications and per-site kiosks. Starter is $49 per site per month billed annually ($59 monthly) for a single gate with simpler needs. Larger networks go on Multi-site, from $79 per site. 14-day free trial, no lock-in, and you bring your own iPad or Android tablet — details on pricing.

Questions warehouse teams ask

We've got four gates — is that four subscriptions?

No. Each gate with its own kiosk counts as a site, but Pro is one flat $99/month (billed annually) for up to 5 sites — so four gates sit on one plan. Larger networks go on Multi-site, from $79/site/month.

Will couriers actually use it?

A courier answers three questions — name, company, who they're seeing. Faster than finding the pen.

Does it cap sign-ins?

No. Unlimited on every plan — a busy month costs the same as a quiet one.

Can our employees use the same tablet as visitors?

Yes. Set them up as a roster type: they tap their name to sign in and again to sign out, with no form. The timesheet shows first-in and last-out each day and total hours and days present, and exports to CSV.

Can the induction cover our forklift and pedestrian rules?

Yes. The induction briefing is your own text on the contractor type, followed by an agreement they accept and sign. Edit it and the version goes up, so every contractor re-accepts at their next sign-in.

What happens to couriers who never sign out?

Each visitor type has its own automatic sign-out — for example, couriers clear after an hour — so they don't clutter the live list or the roll-call. The office can also sign anyone out by hand.

What can we show after an incident on the floor?

For each person: when they signed in and out, at which gate, who they were with, what they answered, and — for contractors — the induction version they accepted with their typed signature and timestamp. Changes to the wording and manual sign-outs are in the audit log, and the visitor list exports to CSV.

Can head office see every DC at once?

The visitors list shows sign-ins with a Location column, and each site prints its own roll-call. A dashboard with a tile per site isn't built yet.
