Solution · Australian visitor management

Visitor management, built and hosted in Australia.

Not a global platform with an Australian price list. Flowmatix keeps your data in your own database, handles it under the Australian Privacy Principles, and speaks the local compliance language — SWMS, WHS, WWCC — because it was built here for it.

Why "Australian" isn't just a flag

Your own database

Each business gets its own database, handled under the Australian Privacy Principles — not a shared table with a column identifying you.

Local compliance, built in

Signed, versioned SWMS and site inductions are core; WWCC capture and staff sighting are there where you need them. (Automated register validation currently covers Victoria.)

What visitor management software should do for an Australian business

At its simplest, visitor management software replaces the sign-in book at reception: people sign themselves in on a tablet, sign out when they leave, and you can see who is on site. For most Australian workplaces that is only the start. Under WHS duties you are expected to know who is on your premises, make sure contractors have been told about the hazards, and account for everyone in an emergency.

Flowmatix is built around those three jobs. It is designed for businesses with premises — offices, warehouses and depots, manufacturing, and trade or works sites. Schools use the same engine under our CoverMe brand, with Working with Children Check and VIT screening built into the sign-in.

Day to day, it takes work off the front desk. Expected visitors can be pre-registered by the office, invited to register themselves through a link, or added from Outlook with our add-in. When someone signs in and names a host, that host can be emailed (or sent an SMS) that their visitor has arrived. Employees on a roster tap their name in and out, and their hours build into a timesheet you can export. Forgotten sign-outs are cleared automatically at the end of the day.

Australian compliance, feature by feature

How the terms your safety team already uses map to what the software actually records.

SWMS and site rules

Attach a SWMS, site rules or an NDA to any visitor type. The visitor accepts it on the kiosk and, if you require it, types a signature. Each acceptance is stored with the document’s title, version and time. Edit the text and the version changes, so everyone accepts the new wording at their next visit. See SWMS sign-off.

WHS inductions

Turn on an induction for contractors (or any type) and write the briefing they must read before they are signed in. The step is enforced on the server, so it can’t be bypassed by skipping a screen. More on contractor induction.

Working with Children Checks

For types that need screening, the kiosk asks for a WWCC number and expiry, or a VIT number for registered teachers. Office staff then record that they sighted it — who, and when. Automated register validation is available in Victoria only; it flags expired, mismatched or not-found checks to the office, and your staff decide what happens next.

Privacy

Each visitor’s details stay private rather than sitting on an open page for the next person to read. Photos are stored outside the public web folder and shown only to staff with permission. You set how long records are kept, and older ones are deleted automatically.

Emergency roll-call

Print an evacuation list for each site with names, photos, organisation, host, time in and mobile, and a box to tick as people are accounted for. See the evacuation register.

Proof after the fact

Each sign-in records which version of your declaration was accepted and when. Changes to visitor types, sites, settings and the watchlist go to an audit log, and records export to CSV when an auditor or insurer asks.

Choosing visitor management software in Australia: what to ask

Whichever product you choose, these questions separate a nice-looking sign-in screen from a system that helps when something goes wrong:

✓Is the price published, in AUD? Ours is on the pricing page, not behind a quote form.
✓Are sign-ins capped or metered? Flowmatix doesn’t meter them on any plan.
✓What hardware do I have to buy? With Flowmatix, none — it runs in the browser on an iPad or Android tablet you already own.
✓Can it prove which version of the induction someone accepted? A tick-box can’t. A versioned, timestamped record can.
✓Can each entrance or site print its own evacuation list? If you run more than one location, this matters on the day.
✓Who controls retention? You should be able to set it, and old records should go without anyone remembering to delete them.
✓What doesn’t it do? Ask directly. Ours: no native app (it’s a browser kiosk), no analytics dashboards (it’s CSV export and a live list), no single sign-on for admins, and automated WWCC validation is Victoria-only.

Our comparison pages put those questions to other products sold in Australia.

Data residency and isolation are set out plainly on the security page; the product itself is Visitor Management; and if you run several locations, each keeps its own records — see multi-site visitor management.

Questions

Where is our data stored?

In your own database — retention you configure, purge automatic.

Does it handle SWMS and WWCC?

Signed, versioned SWMS is core; WWCC captured and sighted anywhere, auto-validated against the register in Victoria. It flags and alerts — your team decides.

Is pricing in AUD?

Yes — from $49/site/month, unlimited sign-ins.

Does it check Working with Children Checks in every state?

Not automatically. WWCC details can be captured and sighted by your staff anywhere in Australia, but automated register validation currently covers Victoria only. Outside Victoria, your staff check the relevant state register and record that they sighted it.

Will it stop someone who fails a check from signing in?

No. Validation flags the problem and alerts the office so a person can decide. The only automatic block is the watchlist, which you control: names or mobile numbers you add can be blocked or flagged at sign-in.

Do we need to buy hardware?

No. The kiosk runs in the browser on an iPad or Android tablet you already own. Put it on a stand at the entrance and open your site’s kiosk link.

Can we use it across several sites?

Yes. Each site gets its own kiosk link and QR code, so sign-ins are tagged to the right location and each site prints its own evacuation list. Pro covers up to five sites for one flat price.

Is there a contract?

No lock-in. Plans are billed monthly or annually and you can cancel from the billing portal. Every plan starts with a 14-day free trial.
